Team Members and Approvals
You can invite a coworker, agency, or virtual assistant into PostFriendly without handing over the keys to your social accounts.
Invite a team member
- Go to Settings → Team.
- Click Invite member.
- Enter their email and pick a role:
- Owner — full control. Can change billing, connect channels, invite others.
- Editor — can create, edit, and publish posts. Can read analytics.
- Contributor — can create and edit posts, but every post needs Owner or Editor approval before it publishes.
- Viewer — read-only. Sees calendar and analytics. Useful for clients or stakeholders.
- Click Send invite.
They get an email with a setup link. The link expires in 7 days.
Remove a team member
Settings → Team, click the member, click Remove. Their posts in the queue stay where they are; their drafts move to a shared Drafts folder.
Approval flow
When a Contributor creates a post, it shows up in Posts → Approvals. Owners and Editors get a notification. From there:
- Approve — the post moves to the queue or schedule as the Contributor set it.
- Reject with notes — the post goes back to the Contributor with your feedback.
- Edit and approve — make a quick fix and approve in one step.
Notifications
Each member can choose how they get notified — email, in-app, or both. Set this under Settings → Notifications per account.
Audit trail
Open any post and click History to see every change: who created it, who edited it, who approved it, what time it published.
Best practice for agencies
- Use Owner for the agency lead.
- Use Editor for each account manager working on a client.
- Give the client a Viewer account so they can watch the calendar and weigh in without becoming a bottleneck.
What approvals will not do
They will not stop a scheduled post from going out at the last minute — once approved, it goes. If you need to pull a post, open it on the calendar and delete it before the scheduled time.
