Voicemail-to-Text: Read, Do Not Dial

You will save real time when you stop dialing in to listen to voicemail. CallerFriendly turns every voicemail into readable text the moment it lands — so you can skim, decide, and reply without picking up the phone.

Turning it on

It is on by default. To confirm or change it:

  1. Open Settings → Voicemail.
  2. Make sure Transcribe voicemail to text is On.
  3. Choose where the transcription goes:
  4. In the dashboard — always on. Voicemails appear in your inbox.
  5. By email — pick the address.
  6. By text message — pick the phone.
  7. Save.

Where voicemail shows up

  • Voicemail inbox in your dashboard. Each entry shows the caller, the time, the transcript, and a play button if you want to hear it too.
  • The customer's profile, attached as part of their history.
  • Your email or text, if you turned those on, with the transcript inline.

Replying to a voicemail

Open the voicemail in your inbox and you have three buttons:

  • Call back. Dials the customer through your CallerFriendly number.
  • Send text. Opens a text reply tied to the same number.
  • Mark done. Moves the voicemail out of your inbox once you have handled it.

Custom greeting

The default voicemail greeting works fine. But a short greeting in your own voice — or a specific message about hours, an event, or a promotion — feels more personal.

  1. Open Settings → Voicemail.
  2. Click Record a new greeting to record from your microphone, or Upload audio to drop in a file.
  3. Listen back, save, and the new greeting is live on the next call.

Custom greeting after hours

You can play a different voicemail greeting outside business hours. Open the Business Hours article — it walks through how the schedule and the after-hours greeting work together.

Transcription accuracy

We transcribe well, but no transcription is perfect. We err on the side of giving you something readable rather than something polished. Numbers, names, and street addresses are the most likely to be off. When in doubt, tap Play to hear the original.

Common questions

Can I turn voicemail off for one number? Yes. Open Phone Numbers, pick the number, and switch Voicemail to Off. Callers who do not get through will hear a short message and hang up.

Can I share a voicemail with a teammate? Yes. Open the voicemail, click Share, and either pick a teammate or copy a private link. The link only works for people on your team.

The transcription is in the wrong language. Open Settings → Voicemail and set the transcription language to match how your customers usually speak. We support English, Spanish, French, and several others — pick the one that fits your business.
