Merchant Onboarding: E-Signature & Requesting Documents

Merchant Onboarding: Sending for E-Signature and Requesting Documents

Once the application is complete and priced, you send it to the merchant to fill any remaining fields, sign electronically, and upload the required documents. This all happens from the Onboarding tab.

Sending the application

  1. On the lead or customer, open the Onboarding tab.
  2. Confirm the assigned agent is correct. The agent is the sender the merchant sees and the person notified at each step.
  3. Select Send Application. DrivenSuite generates the merchant-facing application from the MPA and the selected processor's blank form, and emails a secure signing link.

The status changes to Sent. The merchant receives a link to a guided form.

What the merchant does

  • Reviews the pre-filled application.
  • Completes any fields you left for them.
  • Signs electronically.
  • Uploads the requested documents.

Requesting documents

Two documents are requested by default during signing:

  • Voided check for the funding account.
  • Driver's license for the signing owner.

Both are attached to the lead or customer when uploaded. You can request additional documents if a processor needs them.

Tracking progress

The Onboarding tab shows the current signing state:

  • Unsent: not yet sent.
  • Sent: link delivered, awaiting the merchant.
  • Signed: the merchant has signed and uploaded documents.

The assigned agent is notified when the merchant opens, signs, and completes the request. You do not have to watch the screen; the notification tells you when it is ready to submit.

What happens when the merchant signs

The moment the application is signed and complete, DrivenSuite automatically:

  1. Marks the onboarding Signed.
  2. Creates a support ticket in the assigned agent's name to submit the application to the processor. This is the handoff to the manual submission step and makes sure no signed deal is forgotten.

If the merchant does not respond

  • Resend the link from the Onboarding tab.
  • Confirm the email address on the lead is correct.
  • Call the merchant; the signing link stays valid, so they can pick up where they left off.

Next: Submitting to the Processor and Recording Boarding.
