DrivenSuite: Projects & Tasks
If your work goes beyond one-time sales — installs, jobs, builds, ongoing services — projects are how you keep them organized. Every project has its own timeline, tasks, files, team, and budget.
Creating a project
- Go to Projects → New Project.
- Pick the customer it's for.
- Set the project type (e.g. Install, Maintenance, Build), start date, and deadline.
- Choose a billing method: fixed price, per hour, or per task. This shapes how you'll invoice.
- Assign the team members who'll work on it.
Tasks
Inside a project, break the work into tasks under the Tasks tab. Each task has an owner, a due date, and a status (To Do, In Progress, Testing, Complete). Drag-and-drop reordering lets you change priority on the fly.
If you bill hourly, staff can start a timer from inside any task — every tracked minute is ready to invoice.
Files & discussion
The Files tab is your shared folder — upload contracts, photos, plans. The Discussions tab is where the team and (optionally) the customer can talk back-and-forth about the project — better than scattered email threads.
Milestones
For longer projects, group tasks into Milestones — "Foundation Complete", "Wiring Done", "Final Inspection". Customers see a clean progress bar on their portal so they always know where things stand.
Billing the project
When work is done (or at milestones), click Invoice this Project to roll up the billable items — tasks, expenses, time entries — into an invoice in one step. Edit before sending if you need to.
Customer view
If you turn on Customer Portal Access for a project, your customer can log in to see milestones, approved tasks, files you've shared, and invoices. Cuts down on the "what's the status?" emails.
Reports
Reports → Projects shows profitability per project (revenue minus tracked hours and expenses), team utilization, and overdue tasks across all active projects.
Tips
- Set realistic deadlines and stick to them. The dashboard light-up of overdue tasks is your honest mirror.
- Always start a task with a verb. "Install dishwasher" is a task. "Dishwasher" is a noun.
