DrivenSuite: HR & Payroll

Run payroll, track time, manage staff records, and stay on top of paid time off — all from inside DrivenSuite, with the numbers automatically flowing to your books.

Adding a staff member

  1. Go to HR → Staff → New Staff.
  2. Enter name, contact, hire date, and role.
  3. Set pay type (hourly or salaried) and rate.
  4. Enter tax info (W-4 in the US; W-2 form details for year-end).
  5. Optionally set direct deposit bank details for ACH payroll.

The staff member gets an invite email to set their own password and access their pay stubs.

Time tracking

Hourly staff clock in and out from:

  • The web app, on a phone or tablet at the front counter.
  • A timesheet they fill out at end of week.
  • Their project tasks (if they're billing time to projects).

Approve timesheets under HR → Timesheets → Pending Approval before payroll runs.

Running payroll

  1. Go to HR → Payroll → New Payroll.
  2. Pick the pay period (usually weekly or bi-weekly).
  3. DrivenSuite calculates gross pay, taxes, deductions, and net pay for each staff member.
  4. Review the summary. Edit any individual line if needed (bonus, correction).
  5. Click Approve & Pay.

Pay stubs are emailed to staff. The expense automatically posts to the Accounting module so your books stay in sync.

Time off

Under HR → Time Off staff request vacation, sick days, or unpaid leave. Managers see pending requests on the dashboard; approving them updates the calendar and the staff member's PTO balance.

Set accrual rules under Setup → HR → Time Off Policies — for example, "1.25 days per month, max 20 carryover".

Commissions

For sales staff on commission, configure rules under Setup → HR → Commission Plans — flat percentage, tiered, or per-product. DrivenSuite calculates earned commission from invoices and adds it to the next payroll run.

End-of-year

In January, the HR → Reports → W-2 / 1099 view generates wage and contractor forms ready to download or mail. (Tax filing itself is handled outside DrivenSuite — your accountant gets the data they need from these forms.)

Tips

  • Run a test payroll first on a new account, with one staff member, to make sure the tax math matches what you expect for your state.
  • Approve time off in advance. Late approvals create payroll surprises.
